I must ask, why you are trying to go lower than above?

If this is a donation by you, that is ok, but this is business.

Do you know how many Photographers you are bidding against (If any)?

Bid as low as you want, but at $2500, you are approaching less than 25/print if you are bidding worse case of 100 prints.

That works out to 625 /hour if you only book a 4 hour window, costs not broken out of the bid, to be honest why would you itemize the bid the org might say we can do without this or that.

There is a point when NOT working for an event is better than working it, however only you know what that bottem line number is.

I don't know for sure that the organization I'm talking with has contacted anyone else. And to be clear, the 100 prints is the BEST case scenario.

Yes I know this is business, but at the end of the day I have to have a peace in my heart about the quote that I provide. I don't have a lot of things that some may have to charge extra to cover (a storefront, lots of inventory, rent, a mortgage, staff etc). My family has been blessed to be in a decent place financially, and so I don't have the pressure of having to charge several hundred dollars an hour for my services in order to keep bread on the table. And being new in the community where I live, if the costs of building relationships and goodwill mean I charge a little less, then so be it. I'm comfortable with that. I'd rather charge a little less, and have more work come in than over price my services and sit at home depressed that no one wants to hire me. I figure it's easier to raise my prices in the future than the other way around.

Thanks for your concern. Discussions like this really help me firm up what my policies and procedures are and need to be in the future. I appreciate it.

Even if you want to do this event free, (we can not tell you what to do, and frankly I do some events free because of the giving back, and expect no tax deduction either).

That said, Please figure a cost of doing business for yourself.


Figure how much you want to get paid to work for a day: (Or figure it by the year and break it down from there).

Your Pay PLUS all the expenses, plus deprication on your gear, since you want to put aside money to buy gear to replace your gear when it wears out.

Then once you know your Cost of doing Business for the event, and figure the amount of work needed to put into the bid and other off site duties, you need to make sure you charge enough to recoupe your costs including what you want to get paid.


Some people fail to pay themselves when figuring their CDB.

Ed,

I'm just finalizing my quote this morning and as it stands right now I have 6 section that I've broken it down into.
  1. Creative Fee (for photography): 4 hours @ my hourly photography rate
  2. Creative Fee (for graphic design of poster template): 2 hours @ my hourly design rate
  3. Digital Capture Fee: Fee per image (50 image min. with any overage to be billed separately)
  4. Equipment Usage Fee: for the use of my laptop and printer
  5. Post Production Fee: for burning images on CD
  6. Buyout Fee: for rights to the images on the CD
I hope to be able to deliver the quote sometime today.

I can't think of anything else to add without feeling like I'm just being greedy.

Have you thought of just figuring up what you would normally charge and then just giving a 50% discount? Most everyone understands discounts. I had good luck with just keeping it simple like that.

That's the general idea for what I did (although the discount I applied was less than your suggestion). Once I remembered that in the past I have applied a discount to work done for charities/non-profits everything became clear.

So I finished the quote, sent it off to the lady I met with, and she called back a few minutes later to clarify a few points, and to tell me that I have the job. And that we're planning on doing at least 2 more similar type events in the future.

So everything turned out good.
