This set off bells for me. This is a standard ploy to get this one job as cheap as possible.

Did they mention the total number of replications? I learned a very important lesson on this very forum some time ago. When they say "Give me a good price for this one, more to follow", it rarely does.

If you believe in the charity yourself, and the replication carrot is on the table, the best method for counter offering it is to have your pricing set up so you do get the other events, then they get their good deal.

As an example for our work with animal shelters, I usually offer the first 4 for the regular price, the last for free. They basically get 20% off the total bill, you get the additional work and money.

IMO, if they don't go for it, the other jobs probably weren't there.

Re: Creating an accurate quote

Non Profit means they spend all their money each year.

For a boarder print, what you are doing, a good estimate is $2500, which includes up to 100 prints for families.

Something to think about, what if a printer breaks, or a computer crashes, or your camera croaks.

As a professional you need backup.

I agree with Mr Nye (the photo guy ) dont give a discount on one event, put it off until a future event.

Possibly two others. And yes, I strongly believe in what the organization is doing. I didn't get the sense that they were specifically trying to low-ball me either on the pricing when we met. They're just being normal...no one wants to pay more than they have to.

I also like your idea of saying to them, "I'll do X number of events at full price and then give a discount on the last one etc..."

The challenge with giving a price based on the estimated maximum number of images possible (in this case 100) is that there's no guarantee that 100 families will show up. And even if they do, there's a very strong possibility that not everyone will even WANT their picture taken.

As a point of disclosure, the organization is eating the cost of the prints and giving them away to whomever wants their family picture.

I totally agree. My laptop is just what I take out when I'm mobile. I do have another essentially redundant system here at home in my office. Regarding a camera, it just so happens I'm pricing another camera system out this week. I've been putting off the purchase of a backup for a few months now, but perhaps this project is a good reason to take the plunge.

Re: Creating an accurate quote

So is it taking up a workday or a day off? On your day off you can volunteer your time all you want, but if it's a workday then it needs to pay you for your time.
Since they are buying the consumables and this is a cause you believe in, then perhaps charge a nominal fee for the printing bit (cost). I suspect because they are willing to provide the consumables they are aware of the costs of this and just need your professional time and ability to actually take the photos.
So charge for that. Hourly rate times hours.

Is there any marketing value to you for being at this event?
Without donating anything tangible there is no tax deduction for you (your time has no value so says the IRS)

The event is on a Saturday afternoon (but I'm not giving away my time either). Right now I've broken my quote down into 4 sections:
  1. my time (at an hourly rate) for doing the photography on the day of the event
  2. my time (at an hourly rate) for designing the "poster" template we'd use for the image we give away to the families
  3. a usage fee for my printer and laptop
  4. a buyout fee for the images on a disc at the end of the event
I was wondering what to do about the prints, and so your suggestion about charging a nominal fee is well taken. I'll think about that.

Other than these things the only other possibility is to build in a charge for an assistant so I can pay someone to help with the printing side of things on the day of the event.
